1. About this Policy
This Privacy Policy explains how Love and Acceptance ("we", "us", "our") collects, uses, stores, shares and protects personal data when you use our website, make a donation, submit an enquiry, register for a programme or event, volunteer, seek assistance, or otherwise interact with us.
This Policy is intended to be read together with our Terms & Conditions, Cancellation & Refund Policy, Shipping & Delivery Policy, and any specific notice shown on a form or campaign page.
We process personal data only for lawful and legitimate purposes and seek to collect only the information reasonably necessary for those purposes. We will update our practices as applicable provisions of the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 come into force.
2. Personal data we may collect
Depending on your interaction with us, we may collect: name; postal address; telephone/mobile number; email address; age/date of birth where necessary; identity or tax-related details where required for lawful receipts or compliance; donation and transaction references; programme, volunteer, event or assistance-request information; and communications you send to us.
Where genuinely necessary for rehabilitation, assistance or beneficiary support, you may voluntarily provide information relating to disability, functional needs, health, caregiving or support requirements. We will use such information only for the stated programme/service purpose and related safeguarding, monitoring or legal requirements.
Our website may also collect limited technical information such as IP address, browser/device information, pages visited, cookie identifiers and security logs, depending on the technologies enabled on the site.
We do not intend to store full card numbers, CVV or similar payment-card credentials. Online payments are processed through authorised payment service providers, subject to their own terms, privacy practices and security controls.
3. How we use personal data
We may use personal data to: respond to enquiries; assess and provide programmes or assistance; process donations and issue acknowledgements/receipts; manage events and volunteer engagement; communicate service or campaign updates; maintain records; prevent fraud and misuse; meet audit, accounting, safeguarding and legal obligations; improve our website and services; and protect the rights, safety and security of our beneficiaries, donors, volunteers, staff and organisation.
We will not use personal data for a purpose that is incompatible with the purpose communicated to you unless permitted by applicable law or we obtain any additional consent that is legally required.
4. Consent and your choices
Where processing is based on consent, you may withdraw that consent by writing to info@loveandacceptance.org or using another withdrawal method displayed on the relevant form/page. Withdrawal will not affect processing already lawfully carried out before withdrawal.
If certain information is necessary to provide a requested service, process a donation, maintain legally required records or protect a beneficiary, withdrawal or refusal to provide that information may affect our ability to continue the relevant service or transaction.
You may opt out of non-essential promotional communications by using the unsubscribe option, where provided, or by contacting us.
5. Children and persons with lawful guardians
Where applicable law requires verifiable consent of a parent or lawful guardian before processing personal data of a child, or of a person with disability who has a lawful guardian, we will take reasonable steps to obtain and verify that consent before processing the relevant personal data.
We do not knowingly use children's personal data for targeted advertising or behavioural monitoring. Any child-related information collected for a programme, event, rehabilitation or assistance activity should be limited to what is necessary for that activity and handled with appropriate safeguards.
6. Sharing of personal data
We may share personal data only where reasonably necessary with service providers such as website hosting, cloud, email, analytics, payment, accounting or communication providers; implementation or referral partners involved in an authorised programme; professional advisers and auditors; banks/payment service providers; or government, regulatory, law-enforcement or judicial authorities where required by law.
Where a third party processes personal data on our behalf, we will seek appropriate contractual, organisational and technical safeguards proportionate to the nature of the processing.
7. International processing and foreign service providers
Some technology or cloud service providers may process data outside India. Where this occurs, we will take reasonable steps to ensure that the processing is permitted under applicable Indian law and any government restrictions then in force.
8. Data retention
We retain personal data only for as long as reasonably necessary for the stated purpose, programme administration, donor/financial records, safeguarding, audit, dispute handling and legal compliance. Retention periods may differ depending on the type of record and applicable legal requirements.
Where applicable law requires deletion after a purpose has been served, or specifies minimum retention of processing/security logs, we will apply those requirements.
9. Data security and breach response
We use reasonable administrative, technical and organisational safeguards designed to protect personal data from unauthorised access, disclosure, alteration, loss or misuse. These may include access controls, secure credentials, backups, logging, encryption or equivalent protections where appropriate.
If a personal data breach occurs, we will assess it promptly, take reasonable containment and remediation steps, and notify affected individuals and/or the competent authority where and when required by applicable law.
10. Cookies and analytics
Our website may use cookies or similar technologies for essential functions, security, preferences and analytics. You can control many cookies through your browser settings. If we use non-essential cookies that legally require consent, we will provide an appropriate choice mechanism.
Third-party tools may set their own cookies and process information under their own privacy policies.
11. Your rights and grievance redressal
Subject to applicable law, you may request information about your personal data, correction or updating of inaccurate data, erasure where legally available, withdrawal of consent, or grievance redressal. We may need to verify your identity before acting on a request.
